Terms and conditions of hire

Prices

The room is costed at an hourly rate of £37 for the amount of time the booking is required, which will include the time for preparation and clearing away, by the customer. Part hours will be costed at a full hourly rate. The minimum booking period is usually three hours; however, shorter hire periods may be available. Please see How to book.

Location and opening hours

The ICT suite is situated within the Heath Training and Development Centre, Free School Lane, Halifax, West Yorkshire HX1 2PT.

Monday to Friday: 8.30 am until 6.00 pm

If you require to book outside these hours, please telephone the ICT Helpdesk to discuss your requirements.

How to book

The room can be provisionally booked by telephoning 01422 392560 during normal office hours of 9.00 am to 5.00 pm Monday to Friday or by e-mail: ictsuite.bookings@calderdale.gov.uk, and must be confirmed on the official booking form within five working days, quoting an official order number if applicable.

Cancellation

Cancellations within five working days or failure to take up a booking, will result in the full charge being payable. Any cancellation of a confirmed booking must be confirmed either in writing or e-mail following a telephone call.

Catering

Refreshments and catering can be booked by telephoning 01422 392364. For Health and Safety reasons, all refreshments and meals must be taken in the dining room and are not permitted in the ICT suite. We reserve the right to ask users not to consume their own refreshments on the premises. A drinks vending machine is available.

Installation of software

If you require non-standard software, this must be installed by Children and Young People's Services IT technicians. The software must be made available for our technicians to install at least ten working days before the course date. Users must not install any software on the PCs in the training suite. We reserve the right to make a charge for software installations. To discuss individual requirements, ring the ICT helpdesk on 01422 392560.

Security

Security of the equipment in the room is the responsibility of the customer for the duration of the hire period. CCTV cameras are installed; images are being monitored for the purposes of preventing crime and unauthorised access to the suite. This scheme is controlled by ICT Team, Northgate House, Tel 01422 392560. In addition all equipment is security marked. Any losses will be chargeable.

Damage

Equipment in the ICT suite will be checked by an IT technician following each booking. Any damage will be chargeable. Any damaged equipment should be reported to the IT technician at the start and end of the hire period.

Damage or loss

Under no circumstances will the centre make good or accept any responsibility for any damage or theft of any property brought into or left on the premises by the hirer or any other person unless arising through the negligence or default of the centre.

The centre shall not be liable for any loss due to any failure of electricity supply or any occurrence beyond the centre's control, which may cause the premises to be temporarily closed, or the hiring to be interrupted or cancelled.

Fire procedure / health and safety

All users must familiarise themselves with the identified evacuation procedures and respond as required. Any Health and Safety issues must be reported immediately to the staff in the reception office. First aid kits are available and a trained first aider will be available during office hours.

We reserve the right not to accept bookings or usage by individuals or groups who do not comply with Health and Safety regulations or who do not respect the centre facilities or staff. Warnings will be given before this occurs.
